How to Use the Significant Persons Table and Tree View in AML Guardian

Step 1: Identify an Unverified Person in the Ownership Tree

  • From the client's profile, navigate to Beneficiaries & Officers > Registry Data. Access the inbuilt tree model.

  • In the Significant Persons tree, look for any individual card showing a "KYC Unverified" badge - for example, an individual .

  • Click directly on that person's card to take action.

Step 2: Link or Create a Client Record

  • A model will open showing the individual's details:
  • Registry Data - Country and Address, as found in official records
  • Status - e.g., KYC Unverified

You're asked to either:

  • Select Existing Client - if this person already exists in your client database, or
  • Create New Client - if this is a new record

  • For a new individual, click Create a New Client.

Step 3: Locate the Client and Initiate KYC

  • Go to Clients > Individual to view your individual client list.

  • Your dashboard summary cards (Total, Verified, Unverified Clients) will update to reflect the new record.

  • Find the client - their Verification Status will show Not Started.

  • Click Initiate KYC on their row.

Step 4: Send the KYC Invitation

  • A model titled Send KYC Invitation to [Client Name] will appear, with three delivery options:
  • Email - sends the invitation to the client's registered email
  • SMS - sends the invitation to the client's registered phone number
  • Manual Share - generates a link you can copy and share yourself

  • Select at least one option.

  • Click Initiate KYC to confirm.

Step 5: Share or Use the KYC Link

  • A confirmation screen titled KYC Initiated appears, showing:
  • The unique KYC Link
  • The link's expiry date and time

  • Use Copy Link to copy it manually, or Share to send it directly.

Step 6: Verification Complete

  • Once all steps are submitted successfully, the client will see:
  • "Your profile has been verified - You may close this page."

Step 7: Confirm the Updated Status in AML Guardian

  • Return to Clients > Individual in AML Guardian.

  • Your dashboard count will update.

  • Locate the client's row - their record will now show:
  • Verification Status: Verified, with a note such as "Next Review in 12mo"

  • Risk Rating: automatically calculated.

  • A new risk shield icon in the Actions column, giving access to their full risk assessment.

Step 8: Confirm the Updated Ownership Tree

  • Return to the client's profile and open Beneficiaries & Officers > Registry Data.

  • In the Significant Persons tree, locate the individual(s) who previously showed "KYC Unverified."

You'll now see both instances of the verified individual updated with:

  • KYC Verified badge (replacing "KYC Unverified")
  • Low Risk rating
  • In Review status, pending final sign-off

Note: Once every person in the ownership chain is verified, the overall entity risk score recalculates automatically.

Step 9: Review the Updated Risk Assessment Summary

Scroll down to the Risk Assessment section to see:

  • Risk Overview – a visual gauge showing the overall risk level (Low, Medium, High).

  • Risk Factor Cards – seven individual cards: PEP, Sanctions, Country Risk, Adverse Media, Fitness & Probity, Review, and Company-Level Risk Factors — each showing its own risk badge (Low, Medium, High, Critical).

  • Overall Decision Context – a written summary describing the entities assessed, the ownership structure, the overall risk level, and the onboarding decision reached
  • Key Factors – a bullet-point list explaining the specific reasons behind that decision, such as structural risk factors elevated or standard due diligence findings.

Step 10: Open a Risk Factor for Full Detail

  • Click on any individual risk factor card (e.g., PEP, Sanctions, Country Risk, Adverse Media, Fitness & Probity, Review, or Company-Level Risk Factors).

  • A side panel slides in from the right, showing that factor's risk badge, a plain-language Summary, and a detailed Breakdown.

  • Close the panel (using the X or Close button) to return to the main Risk Assessment view and review another factor.

Step 11: Access the Registry Data Table View

  • Open a client's profile and navigate to Beneficiaries & Officers > Registry Data. Switch to Table View

  • Click the Registry Data tab.

  • Scroll to the Significant Persons section.

  • By default, the ownership structure may be displayed as a Table.

  • The view switches to a structured table with the label "Registry ownership view - Review ownership, verification, and client associations."

Tip: You can switch back to the Tree view at any time by clicking the Tree button. Both views show the same data in different formats - use whichever suits your workflow.

Step 12: Understand the Table Columns

The Significant Persons table displays the following columns for every entity in the ownership structure:

  • Entity - The name of the person or business, their type (Individual or Business), and their current review status badge (e.g., Completed, In Review, Onboarded). Entities manually added to the record are labelled with a "Custom" tag in orange.

  • Association - The linked client profile in AML Guardian, along with their verification and risk status (e.g., Verified, Low Risk, Onboarded). Shows "Not associated" if no client profile has been linked yet.

  • Tier - The ownership tier (e.g., TIER 0 for the primary entity, TIER 1 for direct owners).

  • Ownership - The ownership percentage held by that entity, displayed as a number and a colour-coded progress bar (green for high, orange for medium, red for low).

  • Role / Control - The person's role or control type. Displays a dash if not applicable.
  • Registry Details - The country of registration, with an information icon to view further detail.

  • Verification - The current KYB or KYC verification status and the risk rating.

  • Actions - Quick action icons for each row.

Step 13: Identify Incomplete Ownership Warnings

  • If the total ownership across all Tier 1 entities does not add up to 100%, AML Guardian will flag this automatically.

  • Hover over the information icon (i) in the Registry Details column to know the ownership details and other info.

  • The tooltip reads: "Incomplete Ownership (<100%). Registry details appear to be missing. You can add significant persons manually."

  • This indicates that one or more beneficial owners may be missing from the ownership structure and should be added manually

Step 14: Add an Additional Profile to a Tier

  • At the bottom of the Significant Persons table, click the "+ Add Additional Profile to Tier 1" button (shown in orange/amber).

The Add Additional Profile model opens, confirming: "You are adding an Additional Profile at Tier 1. Please fill in the required details below."

  • Complete the form with the following fields:
  • Full Name (required)
  • Roles - select applicable roles
  • Country - select from dropdown
  • Share Size - enter the share size value
  • Beneficial Ownership (%) - enter a value between 0 and 10
  • Direct Ownership (%) - enter a value between 0 and 100
  • Indirect Ownership (%) - enter a value between 0 and 100
  • Position - e.g., CEO, Shareholder
  • Nationality - e.g., Australian, British

  • Click Save Additional Profile to add the person to the ownership structure. Click Cancel to discard.

  • The new profile will appear in the table tagged as "Custom", confirming it was added manually rather than sourced from registry data.

Step 15: Understanding the Action Icons

Each row in the table includes up to four action icons depending on the entity type:

  • Chain link icon (Manage Association) - Opens the association management panel to link or detach a client profile. Available for entities not yet fully associated.
  • External link icon (View Client Profile) - Opens the linked client's full profile in a new view. Available for entities that have been associated with a client.
  • Pencil icon (Edit) - Opens an edit form for manually added (Custom) profiles only.
  • Trash icon (Delete) - Removes a manually added (Custom) profile from the ownership structure.

Note: Registry-sourced entities (without the Custom tag) cannot be directly edited or deleted, as their data comes from official registry records.

Step 16: Manage an Association - Linking an Entity to a Client

  • Click the person icon(Manage Association) icon on an unassociated entity's row.

  • A model opens for that entity showing:
  • Entity name, type, and tier
  • Registry Data - Country and address from official records
  • Status - Current KYC/KYB status (e.g., KYC Unverified)
  • Edit and Delete icons (for Custom profiles only)

  • You are then prompted to:
  • Select Existing Client - link the entity to an existing client already in your system, or
  • Create New Client - create a brand-new client record for this entity

Step 17: Selecting an Existing Client

  • Click Select Existing Client.

  • The Select an Existing Client screen opens, showing the list of clients in your system.

  • Use the Search clients... bar to find a specific client by name or email.

  • Browse the list - each entry shows:
  • Client name
  • Verification status and risk rating badges (e.g., Verified, Low Risk)
  • Client type (Individual or Company) and email address

  • Click Load more to see additional results if needed.

  • Click Associate next to the correct client to proceed.

  • A Confirm Association model appears, showing:
  • The entity from the ownership tree (left side)
  • An "Associates to" arrow
  • The selected client profile (right side), including their risk and verification badges
  • The Share Size percentage
  • A View Client Profile button to open the linked client in a new tab before confirming

  • Click Confirm Association to finalise, or Cancel to go back.

Step 18: Creating a New Client from the Ownership Table

  • Click Create New Client from the association model.

  • The Create New Client form opens with the entity's name pre-filled from registry data.

  • Complete the remaining required fields:
  • First Name and Last Name
  • Email
  • Phone with country code
  • Client Type (defaults to Individual)
  • Notes (optional - internal compliance notes)

  • Click Create to save the new client and automatically associate it with this entity in the ownership structure.

Step 19: Detaching a Client Association

  • Click the chain link (Manage Association) icon on a row that already has an associated client.

  • The Detach Client model opens, showing:
  • The entity (left side) with its Share Size percentage bar
  • An "Associated To" arrow
  • The linked client (right side) with their verification status and an Initiate KYC button

  • Review the relationship to confirm this is the association you want to remove.

  • Click Detach Client (red button) to remove the link, or Cancel to go back.

Important: Detaching a client does not delete either record - it only removes the association between the entity in the ownership table and the client profile. You can re-associate at any time.

Step 20: Viewing a Client Profile from the Table

  • Click the external link (View Client Profile) icon on any row that already has an associated client.

  • The linked client's full profile opens, allowing you to review their KYC/KYB status, risk assessment, documents, and notes without leaving the ownership table context.

Step 21: Reviewing the Final Ownership Table

Once all entities are associated and verified, the table provides a complete compliance picture:

  • All rows show KYC Verified or KYB Verified badges
  • Risk ratings (Low Risk, Medium Risk) are visible for every entity
  • Association column shows the linked client profile with their verification and onboarding status
  • Ownership percentages are fully accounted for with no incomplete ownership warnings
  • Custom profiles (manually added) are clearly tagged with the orange "Custom" label
