Step 1: Open the Business Clients list
- In the left menu, click Clients, then Business.

- You will see summary cards for Total, Verified, Unverified, Rejected and Expired clients.
- Use the search bar (name, business name, trading name or ABN), the date filters or Clear Filters to find your client.
- Each row shows the Client name and type (Company or Partnership), Business Details (company name, ABN/ACN), Verification Status, Risk Rating and Action.
Tip: A client showing Not Started and Not Assessed has not been verified yet.
Step 2: Click Initiate KYB
- Find the client you want to verify.
- Click the Initiate KYB button in the Actions column.
Note: If a KYB was started before but not finished, or was rejected, the button shows Re-Initiate KYB instead. A rejected client may show Action: Retry allowed.
Step 3: Choose who pays for the verification
- A window opens asking "Who pays for this verification?" and shows the cost.
- Choose one option:
- Customer pays by card: the client is charged before verification starts.
- Your organisation pays now by card: used when your organisation's allocation limit has been reached.
- Click Continue (or Cancel to go back).
Step 4: Choose how to send the invitation
- The Send KYB Invitation window opens.
- Select at least one option:
- Email: sends the invitation to the client's email address.
- SMS: sends it to the client's mobile number.
- Manual Share: gives you a link to send yourself.
- Click Initiate KYB.
Step 5: Share the KYB link
- A KYB Initiated message appears with the KYB Link and an expiry date and time.
- Click Copy Link or Share to send it to your client.
- Remind your client to complete verification before the link expires.
Step 6: What your client sees
Your client opens the link and goes through these screens:
- Welcome page: shows who requested the verification and a Verification checklist (Company Information and Company Documents). The client ticks "I agree to the Terms & Conditions and Privacy Policy" and clicks Start Verification.
- Security notice: a reminder that they are submitting sensitive data. Click Continue.
- Let's verify your company: shows two steps, Provide company details and Provide company documents. Click Start verification.
- Consent: the client reads the data processing notice and clicks Agree and continue.
Step 7: Client provides company details (Step 1 of 2)
- The client selects the Country of company registration and types the Company name, then clicks Find company.
- If the company is found, they select it from the results.
- If No results found appears, they click Enter company data manually and fill in:
- Country
- Company name
- ACN number (registered with ASIC)
- They click Save and continue.
Tip: The client can also click Continue on phone to finish on their mobile instead.
Step 8: Client uploads company documents (Step 2 of 2)
- Under Legal presence, the client chooses one document type from the drop-down:
- Incorporation certificate
- Memorandum / articles of incorporation / association / registration
- Excerpt from a state company registry
- Partnership agreement
- They click Choose or drag and drop the file. Accepted formats: JPG, PNG, HEIC, WEBP or PDF (max 20 MB).
- A green tick shows the document is added. They can click Add additional document for more, or the bin icon to remove one.
- They click Continue.
Step 9: Client sees the confirmation
- A message says "Your profile has been verified. You may close this page."
- A final Verification Complete screen confirms the information was submitted and a confirmation email was sent.
Step 10: Check the result in AML Guardian
- Go back to Clients → Business.
- Find your client. The row now shows:
- Verification Status: Verified, with Next Review month
- Risk Rating: Low, Medium, High, Critical
- Check the summary cards at the top. The client has moved from Unverified Clients to Verified Clients, and the counts change automatically. The Total Clients count stays the same.
- Click the eye icon to open the full client profile.
