How to Verify an Individual Client in AML Guardian

Step 1: Open the client list

  • Go to Clients → Individual in the left menu.

  • Find your client. Clients who haven't started show Not Started under Verification Status.

Step 2: Click "Initiate KYC"

  • Click the dark blue Initiate KYC button on the client's row.

💡 If the client already began but didn't finish (status In Progress), you'll see Re-Initiate KYC instead.

Step 3: Choose who pays

A window asks "Who pays for this verification?"

  • The cost of the check depends on your package, and the price is shown on screen.
  • If your firm has allocations, the window shows how many checks are left. One check is deducted now, with no extra charge.
  • Click Continue.

Step 4: Choose how to send the invitation

Pick at least one option (the Initiate KYC button stays grey until you do):

  • Email: sent to the client's email address
  • SMS: sent to their mobile number
  • Manual Share: you get a link and send it yourself (WhatsApp, chat, etc.)

Click Initiate KYC.

Step 5: Copy or share the link

The KYC Initiated screen shows the client's unique link and its expiry date (one year from creation).

  • Copy Link copies it to your clipboard.
• Share opens your sharing options.

✅ That's your part done. Now it's your client's turn.

Step 6: Review the checklist

The client opens the link and sees who requested the check (your firm) and a Verification checklist:

  1. Identity Verification
  2. Selfie Check
  3. Applicant Data
  4. Additional Identity Documents

They tick "I agree to the Terms & Conditions and Privacy Policy", then click Start Verification.

Step 7: Secure verification window

  • A security notice appears. It reminds them to close the page if the link came from a suspicious source. They click Continue.

  • Next review the 3 simple steps, click Start verification

  • Then click on Agree and continue the data-processing consent.

Step 8: Step 1 of 3 – Identity document

  1. Choose the Issuing country.

  1. Choose the Document type: Passport, Driver's license, ID card, or Residence permit.

  1. Read the tips: use a well-lit room, avoid reflections, and never edit the image.

  1. Add the photo using the Upload document or Take photo. Accepted: JPG, PNG, HEIC or WEBP, max 20 MB.

  1. Click Continue.

📱 Prefer to use their phone camera? Continue phone hands the process over to their mobile.

Step 9: Step 2 of 3 – Liveness check (selfie)

  • Their faces and background are captured to prove it's really them. Tips: find good lighting, keep the face in the frame, remove hat, glasses or mask. Click Continue and follow the on-screen prompts.

Step 10: Step 3 of 3 – Confirm personal data

The client fills in the required fields (marked with a red *): First name, Middle name (optional), Last name, and the remaining details shown. Click Continue.

Step 11: Verification Complete

After submitting, the client sees a green Verification Complete screen confirming that their information has been submitted and approved by the compliance team. Two badges confirm:

  • 🛡️ Securely Stored: their data is protected.
  • ✉️ Confirmation Sent: they receive a confirmation.

The client can now safely close the window or click Return to Syntrico Homepage.

Step 12: Check the client's new status

Go back to Clients → Individual. The client's row now shows the outcome:

  • Verification Status: the client changes from Not Started or In Progress to Verified, with Next Review is shown underneath.
  • Risk Rating: a rating appears, such as Low Risk or High Risk, instead of Not Assessed.
  • Profile photo: the client's photo now shows in place of their initials.
  • Actions: the Initiate KYC button is replaced by the full set of icons, so you can view, edit, review and delete.

Step 13: Confirm the dashboard counts

The summary cards at the top of the Clients page update automatically. Once your client completes verification, they move out of Unverified Clients and into Verified Clients. The Total Clients card stays the same, because the client was already on your list.

This gives you a quick, live view of who is fully onboarded and who is still pending.
