Step 1: Go to the Business client list
- In the left menu, click Clients. Click Business in the sub-menu.
- You'll see a list of all business clients. The cards at the top show your totals: Total, Verified, Unverified, Rejected, and Expired clients. Click any card to filter the list.
Tip: Use the search bar to find a client by name, trading name, or ABN. You can also filter by Today, Week, Month, or a custom date range.
Step 2: Open the client's profile
Find your client in the list. Each row shows:
- Client: name, type (Company, Trust, Partnership) and status
- Business Details: legal name and ABN
- Verification Status: Verified, In Progress, and when the next review is due
- Risk Rating: Low Risk, High Risk, or Not Assessed
- Click the eye icon 👁 on the right to open the full profile.
Step 3: Read the KYB Verification & Periodic Review panel
- At the top of the profile, you'll see the client's name and current status.
- Just below is the KYB Verification & Periodic Review panel you will see Review Status, Created, Verified, Next Review Date.
- From here you can click Update KYB Status to change the status, or the pencil icon to change the next review date.
Step 4: Check the Risk Assessment
Scroll down to Risk Assessment. The gauge on the left shows the client's overall risk level: Low, Medium, Critical or High.
On the right are individual risk checks, each with its own rating:
- PEP
- Sanctions
- Country Risk
- Adverse Media
- Fitness & Probity
- Review
- Company-Level Risk Factors
- Click the ⓘ icon on any card to see the full explanation.
- Next, read Overall Decision Context at the bottom. It explains why the client got this rating in plain language. Under Key Factors, you'll see exactly which person or factor raised the risk.
Important: A client's overall risk can be raised by someone in their ownership structure, such as a shareholder. A "High" rating doesn't always mean the company itself is the problem.
Step 5: Understand who owns the company
Go to Beneficiaries & Officers. There are two tabs:
- Registry Data: official information from the business registry
- Provided Data: the information the client gave you
In Registry Data, switch between two views:
- Tree view: a visual chart of the ownership structure. Directors appear alongside the business, and owners appear in Tiers (Tier 1, Tier 2) with ownership percentages.
- Table view: the same information as a list showing Entity, Association, Tier, Ownership %, Role, Country, and Verification status.
Look at the badges:
- KYB Verified / Unverified: for businesses
- KYC Verified / Unverified: for individuals such as directors
- For anyone marked "Not associated", click the person+ icon to link them as a client in the table view.
Step 6: Check Official Registry Data
Where: After Beneficiaries & Officers, before Beneficiary Screening.

- Click the arrow to expand it.
- Check Company name and Status (should be green Active).

Step 7: Review Beneficiary Screening
Scroll to Beneficiary Screening. Here, each owner or director has their own risk card with every screening factor listed.
- Factors shown in orange need your attention.
- Click any factor to open a side panel with a Summary, Breakdown, Flagged Categories, and Full Hit History.
- Click View Client Profile to jump to that person's own record.
Step 8: Check client details
- Scroll down to Client Details and Company Information. You'll see the company name, ABN, client type, contact person, email, phone, and registration number.
- To correct anything, click Edit, make changes
- Next click Save (or cancel to discard).
Step 9: Check Associated Clients and Property - Case Management
Scroll down to two more sections:
- Associated Clients: shows linked entities , their Ownership percentage and Role / Control (such as shareholder or UBO). Click the open icon under Actions to view that entity.
- Property - Case Management: lists related cases with Case ID, Sector Details and Status.
Step 10: KYB: Track a Business Client’s Cases and Verification
Check the counter at the top. Green with a tick means a check is complete, and amber means it is still pending. For Associated Persons Verification, click Review and complete it. As you finish each item, it turns green. When everything is green, the business is fully verified.
💡 Tip: Click Hide on either panel to collapse it, and click it again to bring it back.
Step 11: View documents securely
In the Documents section, files are locked by default to protect sensitive information.
- Click View Documents.

- Audit Logs: see who did what and when. Click View More to see older activity.

When your review is done, use the Approve or Reject buttons at the top right of the profile.
When you click Approve, AML Guardian checks the required items:
- ✅ Document Verification
- ✅ Sanctions Screening
- ✅ Adverse Media
- ⚠️ Associated Persons Verification
- If anything is incomplete (shown in red), click Review to fix it first.
- Use Force Approve only if you've reviewed the issue and are sure you want to proceed.
